Limo & Chauffeur Booking Software

Your Own Limo Booking Software

Most chauffeur and limo operators start on WhatsApp, phone calls and spreadsheets, then move to subscription limo software built for a standard operation. When your limo business has corporate accounts, pricing rules or a market that don’t fit that standard, the work drifts back to the phone. DispatchOps gives you your own booking, dispatch and driver app platform, on your brand and connected to your systems, built and supported by AppTech System’s engineering team.

Sound Familiar

When Your Limo Business Runs on Chat and Spreadsheets

If your limousine company has grown faster than its tools, this will sound familiar, and the premium service your clients pay for is the first thing to slip. It is a common starting point across the limo industry.

  • Ride requests arrive everywhere.

Bookings come in by WhatsApp, email, the phone line and the website, and someone re-types each one into a spreadsheet. A missed message becomes a missed pickup.

  • Dispatch happens by phone at peak.

In the morning rush the dispatcher calls drivers one by one to find who is free, and jobs wait while the calls queue.

  • Nobody can see the whole fleet.

Keeping track of which vehicles are free, which trips are late and which jobs are unassigned means ringing around.

  • Corporate billing is done by hand.

Trips, waiting time and extras are matched against each account before an invoice goes out, and cash flow waits with it.

  • Drivers chase job details.

Pickup points, names and last-minute changes sit in chat threads, so drivers call the office and the office calls the client.

None of this is the team’s fault. The tools were built for chatting, not dispatching. That gap is what limousine dispatch software is for.

What DispatchOps Does

One Platform From Booking to Billing

DispatchOps puts the full trip cycle on one platform, from the booking to the driver’s pay, configured to the way your limo business already works. These are the key features, in the order a trip uses them.

Limo Bookings and Corporate Accounts

Customers and corporate bookers make online bookings through your branded booking site from a laptop or any mobile device, and phone and email bookings go into the same reservation system. Reservation management happens in one list, and unlike stand-alone limo reservation software, your limo booking software and dispatch run on the same data, so every booking feeds straight into dispatch. Corporate accounts have separate roles for booking agents, billing contacts and passengers, with booking templates, customer details and rider preferences saved for recurring bookings. Pricing rules follow route, vehicle type and demand, so passengers get instant quotes, and the booking process ends with an automatic email or SMS confirmation. Vehicle types match your fleet, wheelchair-accessible limousines included.

Limo Dispatch Software for the Control Room

In limo dispatch software, this is the part that matters most at peak. One screen shows active trips, delays, unassigned jobs and vehicle availability, with a live map of the entire fleet. Dispatchers assign drivers by location and who is free in a couple of taps, or let the system offer jobs automatically by location, driver skill and vehicle type. The board shows who has accepted, and flags possible duplicate bookings and trips that have not started. It doubles as day-to-day fleet management: which drivers are working, which vehicles are free and where each one is.

A Driver App That Holds the Whole Job

Drivers get one app for the whole job. Each offer arrives with detailed information on the pickup and drop-off, and the driver accepts or rejects it, follows turn-by-turn navigation and updates the status through to completion. Push notifications cover offers, amendments, cancellations, reminders and company announcements, with SMS reminders as a back-up, and upcoming trips are colour-coded. For fleet management, the office sees each driver’s on-time rate and idle time.

Live Tracking and Passenger Updates

Vehicles are tracked through the driver app on the chauffeur’s phone, so there is no hardware to install. Dispatchers see each car’s live location, pickup and drop-off points, ETA and trip progress. Customer communication runs from the trip itself: SMS status updates and delay notifications go out automatically, so clients know where their car is without calling your phone line. On an airport transfer, that is the difference between a calm pickup and a string of calls.

Billing, Payments and Driver Payroll

Each trip carries its fare plus any extras or last-minute changes, so settlement starts from what actually happened on the road. Corporate trips settle against the right account, and driver payroll is worked out in the same platform. DispatchOps connects to your accounting software, and you accept payments securely by card through the gateway you choose, connected as part of your project. Month-end stops being a spreadsheet exercise, which helps cash flow.

Reporting You Can Run the Business On

Reports cover revenue, customers, corporate accounts and drivers, along with driver performance and fleet utilisation, so fleet management decisions rest on real data. Unlike generic management software, the reports come from the same trips you dispatch, so you see business performance without merging spreadsheets by hand.

White Label

Your Brand, Your Platform

A white label limo app should carry your company’s name, not ours. The booking site and the driver app your chauffeurs install show your name, logo and colours. If you want branded mobile apps for passengers as well, we build them on the same platform, scoped to your project. The customer experience, and the customer relationships behind it, stay with your brand.

Your data stays yours. Bookings, customer records, corporate accounts and trip history belong to you and can be exported whenever you need them.

DispatchOps connects to the software systems you already run, such as your accounting software, CRM, website or other management software, with statuses syncing both ways. Where a connection does not exist yet, our system integration team builds it. The same engineers handle mobile app development and chauffeur app development, so a booking widget for your website or sharing jobs with partner companies can be built per project.

Buy or Build

Subscription Limo Software or Your Own Platform?

Most chauffeur booking software and limousine software is sold as a subscription built for a standard limo business, and many limo companies run well on it. Search for the best limo software and that is mostly what you will find. Your own platform takes more work to set up and costs more up front. In return, it fits the way you operate.

Compared on Off-the-shelf subscription Your own platform (DispatchOps)
Getting started Sign up and take bookings quickly Discovery, configuration and a pilot before go-live
Pricing rules The pricing options the product offers Your rules by route, vehicle type, demand and account
Corporate accounts A standard account and invoice set-up Roles and workflows set per account
Integrations The connectors the vendor offers Your accounting, CRM and website, plus new connections we build
Branding Varies by vendor and plan Booking site and apps on your brand
Data Held on the vendor’s platform under its terms Yours, exportable whenever you need it
Payment processing The gateways the vendor supports The gateway, regional payment methods and digital wallets you need, integrated per project
Best for Standard operations, smaller fleets, a fast start Larger fleets, multi-city and corporate transport, hotel and VIP transfers, markets the subscriptions don’t serve well

You should not build what you can buy. Subscription limo software handles the basic functionalities of booking and dispatch well, and if one covers how you work, use it. We will tell you so on the first call. Your own platform makes sense when your limo business needs advanced features a subscription will not give you: approval steps for corporate clients, pricing that changes by account, integrations the vendor will not build, or a market the product was never designed for.

Real Operations

Built for How Chauffeur and Black Car Services Really Run

Operators across the limo industry call it different things: chauffeur software in the UK and Australia, limo booking software or black car dispatch software in the US. Whether you run a limo service, a chauffeur business or a corporate transport operation, the job is the same: the right car and chauffeur at the right place, billed correctly. DispatchOps handles the main workflows in one dispatch system rather than a stack of separate limo software tools.

Airport Transfers

The booking holds the pickup time, terminal and passenger details, and the job goes to a driver with the right vehicle. As the driver updates the status, the client gets SMS updates and the control room watches the trip on the map. Flight status can be added through a flight data feed, scoped per project.

Hourly and As-Directed Hire

Pricing rules are set up for the way you sell hourly hire. On an as-directed booking, extra time, extra stops and last-minute changes are added to the trip, so settlement reflects the actual day.

Multi-Stop Trips

Customised itineraries let you book several pickups and drop-offs as one trip. Route optimisation orders the stops so drivers navigate efficiently, and the dispatcher follows the trip’s progress on the board.

Corporate Travel Desks

A travel desk makes and manages bookings for many people at once. Booking templates save time on regular trips, and each account’s invoices go to its billing contact rather than the traveller.

VIP and Event Transport

VIP clients judge a limo service on the details. The dispatch software matches chauffeurs and vehicles to each job by driver skill and vehicle type, client preferences stay on the booking, and the board shows every active trip, delay and free vehicle as the event runs.

How We Work

How We Get You Live

No two transportation businesses start from the same place, so we don’t promise a timeline before we understand yours.

  1. 1

    Discovery

We sit with your operations, dispatch and finance people, see how your business operations run today, from bookings and pricing to billing, and agree what the platform must do.

  2. 2

    Configure DispatchOps or Extend It

Most of what operators need is configuration: vehicle types, pricing rules, accounts, notifications and your brand. What DispatchOps does not do yet, we scope and build.

  3. 3

    Pilot on Real Trips

A pilot runs on real bookings with a group of drivers, so problems show up before the whole fleet depends on the system.

  4. 4

    Driver Onboarding

Drivers install the app and learn the job flow on trips they already know.

  5. 5

    Go-Live

The control room moves across, with our team supporting you through go-live.

  6. 6

    Ongoing Support

After launch, the same engineering team gives you reliable support and keeps building on the platform as your limo business grows and you take more bookings.

Proof We Ship

Already Running a Premium Limousine and Taxi Fleet

A leading premium limousine and taxi operator handles airport transfers, corporate trips and on-demand bookings every day, and had outgrown phone calls and spreadsheets. We built their limousine dispatch software from our proven dispatch foundations: a control-room dashboard and a native driver app, connected in real time. The whole operation now runs on it, and the operator keeps building on it as the fleet grows.

“The real-time vehicle tracking lets us monitor our fleet at any moment, without any hardware installation, and the automatic SMS updates keep our clients informed about their trips. This level of transparency and convenience is exactly what we needed to scale.”

Frequently Asked Questions

Questions About Limo Booking Software

01What is a dispatch system?

A dispatch system, or dispatch software, takes incoming jobs, assigns them to drivers and vehicles, and tracks each job to completion. For chauffeur and limo operators, limo dispatch software replaces the phone and the whiteboard: one screen shows bookings, free vehicles and delays, and each trip is followed live until drop-off.

02What limousine software do dispatchers use?

Chauffeur and limo dispatchers usually work in limousine dispatch software: a dispatch board, a live fleet map and a connected driver app. Smaller limo operators often start on a subscription product, while larger fleets and corporate transport operators tend to run their own limo software platform. The best limousine software is the one that fits how your operation actually runs.

03Is there a driver app?

Yes. DispatchOps includes a native driver app on your brand. Drivers accept or reject job offers, navigate turn by turn and update the trip status through to completion, with push notifications for new jobs, amendments and cancellations. Dispatchers see every response on the board.

04Do our vehicles need tracking hardware?

No. Vehicles are tracked through the driver app on the chauffeur’s phone, so there is nothing to fit in the car. The operator in our case study describes the tracking as working “without any hardware installation”. Dispatchers see each vehicle’s live location, ETA and trip progress.

05Can passengers book online?

Yes. Customers and corporate bookers make online bookings through your branded booking site, and your team can manage reservations taken by phone or email in the same list. A booking widget for your existing website, or a branded passenger app, can be built on the same platform, scoped per project.

06Can it handle corporate accounts and connect to our accounting software?

Yes. Corporate accounts have their own booking agents, billing contacts and passengers, and trips and extras are settled per account. DispatchOps connects to accounting software and CRM systems, with statuses syncing both ways. Where a connector does not exist yet, we build it as part of your project.

07How is passenger data protected?

Passenger data sits in your own platform and remains yours, and the booking site and apps use encrypted connections. During discovery we agree where it is hosted, who can access what and how long records are kept, so the setup can be reviewed against the privacy law that applies to you, such as the UK GDPR or EU GDPR. Our case study platform runs on AWS.

08How long does it take to go live?

It depends on your fleet, the configuration, the systems we connect and any custom features, so we don’t quote a timeline before discovery. After it, you get a defined scope and delivery stages, including a pilot on real trips. Starting from DispatchOps is faster than building limo software from scratch.

09How much does limo software cost?

Limo software cost depends on the model: subscription limo management software charges a recurring fee. We quote DispatchOps after a scoping call, because the price depends on your fleet, the configuration and integrations you need, and any custom development. The written quote covers setup, development, hosting and support, so you can compare it with a subscription.

10Can you white label a limo or chauffeur app?

Yes. DispatchOps is white label: the booking site and driver app carry your name, logo and colours, so customers deal with your brand, not ours. Branded passenger mobile apps can be added as part of your project. Each platform is configured and extended for that operator, then supported by our engineering team.
